Drumming Group Meeting Minutes 16th January 2007

Update on progress with communities:
Vietnmese Community
Leslie to send logos to Hoa for inclusion on the Vietnamese language flyer. Leslie to also check with James re HCCSA having a Vietnamese font.
Dates confirmed for the Vietnamese community drumming sessions;
January 26th - introduction to the drumming project for two combined support groups. At the Vietnamese Cente 2pm-3pm. No need for a turor on this day. Interested individuals to be invited to join on the session on the 11th.
February 11th - open to brader community members. Drumming tutor to organised for the session.

Robert provided a brief overview of possible tutors and group agreed on potential matches with groups. Where possible musicians from specific cultural backgrounds to be nvited into the project along the way. These musicians may be engeged in the final performance. For example Robert to make contact with Dung Tau (Vietnamese musician) to discuss the project and possible opportunities for Dungs input.

Phil Jonesto be contacted as the tutor for the Vietnamese community sessions.

Presentation for Support Group Session: Hoa suggested that Leslie prepare a visual presentation to describe the project. This idea willbe useful across each of the groups.

Afghani Community
Lola met with Zia and interested community members before Christmas. Five young women interested. Very keen to get going and would like to see something happen over the holidays. Possibility of 1-2 others joining later.

Group happy to meet at Hindmarsh or the Hepatitis C Council.

Group agreed that Anne Harrington an ideal tutor for this group of young Afghani women.

Meeting set with Zia, lelsie, John and Robert for Thursday January 24th or Friday January 25th at the HCCSA office at 5pm.

Sudanese Community
Robert and Lola met with Yuggu (Bari community) before Christmas. Lola also approached a worker called Ivan but appears he is not available due to other committments. Yuggu currently available in the mornings.

Meeting set with Yuggu Wednesday 23rdJanuary 2008at 11am at HCCSA office to discuss further meetings with community leaders.

Yuggu has indicated that it will be important for community particpants to acquire something bac from the project, some form of recognition. Group to explore this further with Yuggu but might be in the form of a certificate ofparticpation.

Key points:
Two initial drumming project sessions set to take place at the Vietnamese Community centre
- Saturday 26th January 2pm-3pm for combined support group
- Monday 11th February 4.30pm - 6pm
Leslie to get flyer to Hoa ASAP

Meeting set with Zia for Wed 19th, 6pm at the Hep C Council

Lola to follow up discussions with worker/s from Sudanese community and arrange for follow up meeting with drumming project workers.

Promotion materials:
Robert showed some examples of leaflets used to promote other events and discussed ideas that could be explored for this project. Noted that this process will need to commence ASAP-late January /early February.
Leslie to obtain a quote for the production of DL sized leaflets-photocopying to be done at HCCSA.

Robert presented initial draft copy of the revised budget. Group support current layout and noted a slight flexibility under a few areas.

Next full group meeting: Wednesday 16th January 11.30 HCCSA office.

Promotion meeting with Hoa

Hoa notes that due to other work targeting you people in the Vietnamese community need to shift target group to people at risk of hep C and to the broader community.
Intro and discussion at User Group meeting on Saturday 26th followed a community meeting on the 11th or the 14th of February.
This community event to be promoted by via the Vietnamese newspaper and flyer promotion.

Meeting with Zia

6th December at RASA office with Zia, Lola Robert and Leslie

Talked about the history of the project and possible target group for the Aghani community
Agreed that it may appealmore to young people and a good starting time would be during the scool holidays.
Zia to consider the project further and begin gauging interest.
Tentative date for introductory session is Sat 19th January.
Need to make another time to talk with Zia before the actual introductory session.

Small group meetings update

Actions resulting from conversations between Lola, Leslie and John

Decided to try to target three communities. Identified the Vietnamese community, the Sudanese community and the Afghani community.
Decided to start by providing groups with the opportunity to learn basic drumming skills and come to the group with absolutely no drumming skills. This is actually where we our thoughts started at the beginning of the project.
Want to employ at least one drumming teacher to work across the three communities
Want to run two to three intro and basic skills development classes in ach community before inviting people into a bigger group session.
In the newly combined group there will be a number of skills development sessions.
This will lead into more formal rehearsals which will aim to culminate in at least one performance at Hepatitis C Awareness Week beginning the 19th May.

Discussion focus: Drumming Project Promotional Strategies

Considerations re: language and access.

Target communities: African; Latino; Asian communities such as Vietnamese, Chinese, Indian, Japanese, Phillipino; Eastern European; Middle Eastern... basically, right across the board.

The first flyer: promoting the launch on 8 Dec (set a time for it - Robert will organise his musos)

Main points discussed:

PROCESS Robert is happy to have us pass on his mobile to interested people: 040 242 9197

VOLUNTEER The role could be split into two:

'hep C educator' (for attending workshops, events etc - needs to have good hep C knowledge) - Lyn Green has agreed to act until we sort out a regular person/s.
'drum manager' (to store, care for and transport drums) ... this could be two different people. The drum manager could also coordinate the drum drive? Need to generate job descriptions and a strategy for the drum drive. Also a flyer.

DRUMS Drummaking was discussed, but all agreed that this would sit better as a community activity next year. Lola and Leslie to meet and discuss a strategy for the drum drive. Need about 20 drums. Nicci to make up a radio promo for distribution. An A4 flyer and an A5 leaflet for handing out have been created for the drum drive (will add to blog soon). Lola and Leslie have created a list of places to approach and to put the leaflets up.

PROMOTION 'Poster Impact' do a poster run for a smallish fee. Investigate - could be used for drum drive and/or recruitment.

LAUNCH Ideal place would be the Multicultural Festival organised by Wesley United - 8th Dec. Festival is noon - 10pm, launch at 3pm. HCCSA and PEACE both having info stalls there anyway. Lola to ask organisers if we can announce the launch of the project on the main stage. Robert would be able to organise a few drummers to attend on the day to do a short performance in the stall.

PROMOTIONS A special meeting for this has been called for Thurs 25 Oct 10 - noon at HCCSA. Will work out a strategy and materials, paying special attention to language and literacy issues.

VENUE Possible venues might be Theatre One at the Parks Community Centre (very affordable and has sound equipment); the Folk Centre (good parking and reasonable to hire); Babanusa African restaurant on Prospect Rd (but may skew the cultural bias?)

Main points discussed:

PROCESS for recruitment/inquiries: Formal response from someone on Organising group - get contact details, send one-pager. Give Robert their contact details if they agree to this OR give them Robert's work mobile #
VOLUNTEER needed for project: To manage storage and transport of drums to venues, & to be the hep C educator at events. HCCSA Info Stall volunteer would be ideal. (Nicci to follow up with Cecilia)
LAUNCH of the project: Should be a formal launch to networks and stakeholders, also creates a media promotion opportunity. (Nicci & Lola to secure suitable opportunity)
MEDIA RELEASE: (Lola will organise through RASA - may take awhile)
PROMOTIONAL MATERIAL: One-pager useful for general promotions ie with workers (Lola will get RASA to design). A simpler version needed for direct promotion with community, which includes dates/opportunities (create when dates are set). Blog URL to be included on materials for extra infomation
EVENTS: Aim for one opportunity per month. HCCSA & PEACE both planning to have info stalls at Dec. Multicultural Festival - good opportunity to have drum presence. (Lola will check with organisers re: playing drums at the event)

Next meeting is Thurs 11 Oct at HCCSA, 2-4pm. Robert will be a bit late. Main points for this meeting: Launch, Community materials, Project image, Event opportunities, Drum drive, Communications, Evaluation, Project volunteer job description. Any other agenda items, just bring them with you.

DRUM DRIVE: Nicci has put out another call for donation of drums via the HCCSA membership. Keep a look out for other opportunities via your networks and media contacts.

after much technical hussle...i finally have managed to get myself into this site :)...thank you for the invitation Nicci!!! now i'm not sure what this is about..or how it is meant to be used ;)...so any suggestions will be great ;) or we could talk about this at the next meeting :O....for now i'm...switching off....not sure what the technical term is jajajajajajaja....

First steps forward...

The planning team met with Robert Petchell the Musical Director (MD) for the project on 8 Aug.. and we're away!

In lieu of minutes, here's the main points discussed:

Project Model: discussion about the shape of recruitment and project participation. Agreement to keep it fairly open until the crucial 'development-rehearsal' stage, with opportunities for 'practice' performances that will double as recruitment drives.
Launch project in Oct at Hep C Awareness Week. Dec - Jan: jam sessions and informal participation. Feb - May: Structured sessions towards the performance.
Arts SA have agreed to extend the timeline for the project so we can aim for performances in May 2008 (the 2008 Awareness Week)
MD will take on some of the following up on leads and other development work.. the 'on-ground' stuff.
We need drums! Need to get a 'drum drive' happening to scavange them.
Possible hub - the Folk Centre?
Nicci to write up a project one-pager for promotional purposes.
Nicci to rewrite Robert's JD to reflect new points and generate his contract.
Meeting dates for committee: 2nd Thurs of each month at HCCSA.
